Privacy policy
This page explains what Schools Meet AI collects when you use this website or join the waitlist, what we do with it, and the choices you have. It is written in plain English and we have tried to leave nothing out.
Who we are
Schools Meet AI is run by Coopr Ventures Ltd, which is the data controller for the information described on this page. You can reach us at hey@schoolsmeet.ai, or at hello@stustud.io.
What this page covers
This website, schoolsmeet.ai, and the forms on it.
It does not cover the surveys of staff, pupils and parents that the service will run for schools. Those are not running yet. When they do, each school will give the people it surveys their own privacy information before anyone answers a question, and we will publish a separate notice for that part of the service.
What we collect, and why
The waitlist
If you join the waitlist we ask for your work email, your role, the name of your school or trust (optional) and what you have in place today. We use this to contact you about Schools Meet AI, including early access, and to understand who is interested. The legal basis is your consent: you join by sending the form, and every email we send includes a way to leave the list in one click.
The clarity check
The five questions are answered and scored in your browser. Nothing leaves your device unless you ask for the one-page summary by email. If you do, we receive your work email, your region, your role, the name of your school or trust (optional) and your five answers. We use these to send your summary and, once at least ten schools in a region have answered, to send a regional comparison. The comparison is built from totals and never names a school or a person. Asking for the summary also adds you to the waitlist; the form says so, and the same one-click exit applies. The legal basis is your consent.
Emails you send us
If you email us, we keep the message for as long as we need it to reply and to keep a record of what was agreed. The legal basis is our legitimate interest in answering you.
Technical information
Our hosting provider, Netlify, records the IP address and browser details of each visit in its server logs and keeps them for a short time to keep the site secure. We do not use this to identify you. The legal basis is our legitimate interest in running a secure website.
Cookies and analytics
This site sets no cookies and uses no analytics. Fonts and images are served from the site itself, so your visit is not reported to any third party other than our host. If we add a visitor counter later, we will choose one that works without cookies and say so here.
Who we share it with
We do not sell your information, and we do not share it with other schools or with anyone for their own marketing.
Two kinds of company process it on our behalf: Netlify, Inc., which hosts the site and stores form submissions, and our email provider, which carries the messages we send you. Netlify is based in the United States. Where your information is stored there, the transfer is covered by Netlify’s data processing terms, which include the standard contractual clauses approved for use in the UK.
Regional comparisons are built from aggregated answers and do not identify any school or person. We would disclose information if the law required it.
How long we keep it
Waitlist details: while you are on the list. If you leave, we delete your details within 30 days, including the copy stored in Netlify.
Clarity-check answers: we keep the five answers and your region, without your email or school name, as part of the totals used for regional comparisons. Your email and school name are deleted on the same timetable as your waitlist details.
Emails: for up to two years after our last exchange.
Your rights
Under UK data protection law you can ask us to tell you what we hold about you, correct it, delete it, stop using it or limit how we use it, or give it to you in a usable format. You can withdraw your consent at any time. Email hey@schoolsmeet.ai and we will reply within a month.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk.
Children
This website and the waitlist are for adults who work in or with schools. We do not knowingly collect information about anyone under 18 through this site.
Security
The site is served over HTTPS. Form submissions are stored in Netlify, and only the people running Schools Meet AI can see them. We never ask for passwords or payment details on this site.
Changes to this page
If we change what we collect or how we use it, we will update this page and the date at the top. We will tell people on the waitlist about any bigger change by email.
